Relèven (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data in accordance with the EU General Data Protection Regulation (GDPR) and the UK GDPR. This Privacy Policy explains what personal data we collect through our website, why we collect it, how we use it, who we share it with, and what rights you have.

1.Data controller

Relèven is the data controller responsible for your personal data.

Relèven is a Registered Canadian Charity (#753340314RC0001), registered in Québec (#1173822942) and Ontario (#1000937509). Relèven is also a US 501(c)(3) organisation (#26-053627006204).

2. What personal data we collect

When you submit our Contact Us form, we collect the following information:

First name and last name

Email address

Phone number

Organisation name

Location (province/state and country)

Your areas of interest (from the checkbox options provided)

Any additional information you choose to include in the free-text field

If you opt in to our newsletter, we also collect your email address for the purpose of sending you newsletter communications via Mailchimp.

We do not knowingly collect special categories of personal data (such as data revealing racial or ethnic origin, political opinions, religious beliefs, or health data) through our forms. Please do not include this type of information in the free-text field.

3. Why we collect it and the lawful basis

We process your personal data for the following purposes and on the following lawful bases under Article 6 GDPR:

To respond to your enquiry and to follow up on the interests you indicate in the Contact Us form — lawful basis: your consent (Art. 6(1)(a) GDPR), given by ticking the required consent box on the form.

To send you our newsletter, where you have separately opted in — lawful basis: your consent (Art. 6(1)(a) GDPR). You may withdraw this consent at any time by clicking the unsubscribe link in any newsletter, or by emailing info@releven.org.

To keep administrative records of our correspondence and to comply with our legal obligations as a registered charity — lawful basis: our legitimate interests (Art. 6(1)(f) GDPR) and compliance with legal obligations (Art. 6(1)(c) GDPR).

4. How long we keep it

We retain personal data submitted through our Contact Us form for up to 24 months from the date of your last interaction with us, after which the data is archived in a restricted-access archive and no longer actively used.

Newsletter subscriber data is retained until you unsubscribe or request deletion.

5. Who we share it with

We share your personal data only with the following categories of recipients, who act as our processors under a written data-processing agreement:

Squarespace, Inc. — hosts our website and stores Contact Us form submissions.

Mailchimp (Intuit Inc.) — processes newsletter subscriptions and sends newsletter emails on our behalf, if you have opted in.

Both providers may process data outside the European Economic Area (in particular, in the United States). Where this occurs, the transfer is protected by the European Commission’s Standard Contractual Clauses and, where applicable, the EU-US Data Privacy Framework.

We do not sell your personal data to any third party.

6. Your rights under GDPR

Subject to the conditions set out in the GDPR, you have the right to:

Access the personal data we hold about you;

Request rectification of inaccurate or incomplete data;

Request erasure of your data (“right to be forgotten”);

Request restriction of processing;

Object to processing based on our legitimate interests;

Data portability (receive your data in a structured, machine-readable format);

Withdraw your consent at any time, without affecting the lawfulness of processing carried out before withdrawal.

You also have the right to lodge a complaint with a supervisory authority in the EU/EEA member state of your habitual residence, place of work, or place of the alleged infringement. In the UK, the supervisory authority is the Information Commissioner’s Office (ico.org.uk).

7. Cookies

Our website uses a limited number of cookies, including cookies set by Squarespace to enable core site functionality and to measure aggregate traffic. You can manage cookies through your browser settings and, where applicable, through the cookie banner shown on our site.

8. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page indicates when the policy was most recently revised. Material changes will be highlighted on our website.
